Job Description

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. In this role, you will support the construction management team by ordering materials, coordinating deliveries, assisting with pricing and change orders, and maintaining vendor files (including insurance documentation), You will also be responsible for assisting the Design Coordinator, and handling "maintenance" items for the organization such as coordinating website updates and creating content for social media posts. The ideal candidate will have a strong understanding of residential construction processes, possess excellent communication skills, and be a team player who thrives in a collaborative environment. Additionally, the successful candidate must be skilled at managing multiple time-sensitive tasks and following through effectively to ensure project milestones are met. Responsibilities:

  • Collect and compile project details, specifications, and documentation for selections and approvals.
  • Maintain up-to-date vendor files, including tracking insurance requirements and ensuring all documents are compliant.
  • Order construction materials and coordinate deliveries with construction managers to ensure timely arrival and site readiness.
  • Assist construction managers with pricing and writing change orders as needed.
  • Assist construction managers with project scheduling and keeping schedules updated and accurate.
  • Perform basic takeoffs to ensure accurate material ordering and project estimation.
  • Coordinate with vendors, suppliers, and construction teams to facilitate smooth project execution.
  • Provide general administrative support to construction managers, ensuring all paperwork and processes are properly documented.
  • Provide assistance to the Design Coordinator with plans and specifications- drafting experience preferred.
Qualifications:
  • Exceptional attention to detail and ability to manage multiple tasks simultaneously.
  • Strong understanding of residential construction processes, including materials, timelines, and project workflows.
  • Ability to perform basic takeoffs for material and project estimation.
  • Excellent interpersonal skills with a warm and friendly personality, able to build strong relationships with team members, vendors, and clients.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and project management software.
  • Proficient in Chief Architect, AutoCAD, 2020, or other drafting software.
  • Strong organizational and time management skills with a proactive approach to problem-solving.
  • A team player with the ability to collaborate across departments and work effectively under pressure.
  • Prior experience in a project coordination role within the construction industry is required.
  • Familiarity with construction materials, vendors, and pricing is highly desirable.
